Thank you for choosing Ashgrove Park and Clyde House Day Nurseries as your preferred early years provider. Please read this document carefully as it contains important information regarding the provision we provide.

 

OPENING DAYS AND HOURS

We are open 51 weeks per year and close between Christmas and New Year.

Our opening days/hours are Monday to Friday 8.15am – 5.45pm. We are closed for one inset day per year. This year,  Friday 26th September 2025. If your child attends on a Friday you will not be charged for that day.

Working Parents entitlement runs on a school year basis. Bristol City Council (BCC) dictate how we offer the Working Parents entitlement. We are an All Year Round provider which, according to BCC, allows us to offer Working Parents entitlement for 47.5 weeks of the year (up to a maximum of 24 Funded hours per week).

Of the remaining 4.5 weeks, we take off all the Bank Holidays and the Christmas closure. This leaves 12 days during which Working Parents entitlement does not run and are therefore subject to full daily fees.

Working Parents entitlement is therefore available between September 1st until mid August. (13th Aug 2025) Full fees apply for the remaining dates of August.

If you choose to remove your child from nursery during the unfunded period and then wish to return in September, we cannot hold your child’s space. We would then have no option other than to place you at the bottom of our waiting list.

We are registered with Bristol City Council to offer Working Parents entitlement to

  • Under 2’s from working families
  • 2 year olds from working families
  • Eligible 2 year olds
  • 3 and 4 year olds Universal hours
  • 3 and 4 year olds Extended hours

Depending on the age of your child we offer 4, 6 or 8 hours at a time. Details follow.

ELIGIBLE 2 YEAR OLDS

Universal funded hours are available to some 2 year olds whose parents are on no or low incomes. Parents must apply online for a place with Bristol City Council www.bristol.gov.uk/freeplacefortwos and be checked for eligibility before a funded place can be offered.

Hours are available to eligible children from the term after their 2nd birthday.

3 AND 4 YEAR OLDS UNIVERSAL FUNDED HOURS

Universal funded hours are available to all children who are 3 or 4 (as long as they are living in England). Funded hours are available to all children from the term after their 3rd birthday.

3 AND 4 YEAR OLDS – EXTENDED HOURS (FROM WORKING FAMILIES)

Extended free hours are available to children who are 3 or 4 children from the term after their 3rd birthday.

Parents of 3 and 4 year olds can use both universal and extended free hours in combination (i.e. 24 funded hours per week)

We offer 8 funded hours on 3 days over week for 47.5 weeks of the year.

ELIGIBILITY CODES (FOR WORKING FAMILIES)

  • Eligibility codes need to be reconfirmed every 3 months. The eligibility code will remain the same after reconfirmation. It is the parent/carer’s responsibility to keep their child’s eligibility code valid at all times.
  • Verification checks will be made on Bristol City Council’s Provider Portal, using the following data:
  1. Your 11-digit eligibility code
  2. Your National Insurance Number(s)
  3. Your child’s date of birth
  4. Your written consent(s) from your signed EYR1 Parental Declaration Form to verify eligibility.
  • Grace Periods – If you do not reconfirm the eligibility code and the code becomes invalid, the ‘grace period’ starts. The grace period is a short period of time where a child can still access their funded hours. Once the grace period has expired:
  • Under 2s from working families will have to pay for all childcare provision privately. 2 year olds from working families will have to pay for all childcare provision privately but may be eligible to apply for an Eligible 2 year old place if they meet the criteria, 3 and 4 year olds from working families will only be able to access their universal funded hours and must pay for any additional childcare provision. Codes which are already in their grace period must be reconfirmed before claims can be made for extended funded hours.
  • Bank Holidays are not funded by Bristol City Council. If your funded hours fall on a bank holiday, the session will not be rescheduled.

ADMISSIONS

We take the following matters into account when prioritising and deciding on admissions:

  • Availability of places, taking into account the staff: child ratios, the age of the child and any registration requirements
  • Children who have siblings who are already with us
  • When the application is received (extra weight is given to those who have been on the waiting list the longest)
  • The nursery’s ability to provide the facilities necessary for the welfare of the child, including appropriate staffing arrangements
  • Any extenuating circumstances affecting the child’s welfare or the welfare of his/her family.

If there are more applications than places available then places will be allocated by the Nursery Manager. Where a place cannot be found then children will be placed on a Waiting List.

We operate an inclusion and equality policy and ensure that all children have access to nursery places and services irrespective of their gender, race, disability, religion, or belief or sexual orientation of parents.

INVOICES AND PAYMENTS

We charge a deposit of £150 to secure your child’s place. This is broken down into £100 refunded on your first invoice and a £50 non refundable registration fee. If your child is attending our nil cost sessions the registration fee is not applicable. Please speak to the nursery manager for more information on our nil cost sessions.

For new parents, full fees will apply from the agreed start  date, whether or not your child takes up their place.

In addition, a minimum of six months’ notice must be given if you decide not to take up your child’s place with us or reduce agreed upon days.

Invoices are issued on the first working day of the month. Our terms and conditions state that invoices need to be paid by the 7th of the month.

We are registered to offer Tax Free Childcare. Parents can check eligibility and apply for Tax Free Childcare via www.childcarechoices.gov.uk. Please make sure you email your Tax Free Childcare code to sue@ashgroveandclydenurseries.com

We accept payments from 3rd parties, including colleges, Enjoy Benefits etc. Please contact us for more information.

PAYMENT FOR CONSUMABLES AND ADDITIONAL SERVICES

Our consumables charge is £18 per day. We will include the charge on your usual invoice. Consumables include, nappies, wet wipes, all meals and snacks, extra curricular activities such as Zoolab, Yoga with Linda, Box of Wonders, Tiny Travels etc.

£9.30 per hour outside of the funded hours plus a £18 consumables and additional services charge per day.

Non funded daily charge

0-2 years daily rate £90

2+ years daily rate £80

Nil cost session

Friday 8.15 – 12.15 or 13.15 – 17.45

We do not currently offer any other nil cost sessions due to demand for full days.

Sibling discount

We do not offer a sibling discount

Late payments

Fees are payable one month in advance, no later than the 7th of the month. We reserve the right to charge a late payment fee of £50 for payments received after this time.

PLEASE NOTE, WE INCREASE OUR FEES ANNUALLY.

ALL FEE INCREASES WILL BE POSTED ON THE NURSERY DOOR ONE MONTH IN ADVANCE.

NOTICE PERIODS

Parents are asked to make a termly commitment. This means that once parents sign the EYR1 Parental Declaration Form a contract is made. If parents then decide to transfer to another provider, funding will not be redirected to your new childcare provider until the start following term (Sept, Jan, April). The only group who can give a shorter notice period are Eligible 2 year olds who only need to give 1 months’ notice. For additional hours or extra charges a one month notice period is required.

The General Data Protection Regulation (Regulation (EU) 2016/679)

and Privacy Notice from Bristol City Council

The General Data Protection Regulation (Regulation (EU) 2016/679) (GDPR) puts in place certain safeguards regarding the use of data by organisations. GDPR gives rights to those (known as data subjects) about whom data is held. This includes:

  • the right to be informed about when we collect and use your personal data
  • the right to know why we collect your data and who you share it with
  • the right to know how long we keep it for.

For the purposes of the Data Protection Legislation, Bristol City Council is the Data Controller and the Provider of the Free Entitlement data (e.g. the nursery or childminder) is the Data Processor. The only processing that your child’s Provider is authorised to do with your or your child’s data is listed in their contract with Bristol City Council. The use and privacy of your and your child’s data is very important to Bristol City Council. Bristol City Council’s Data Protection Policy and Privacy Notice are available online for your perusal.

The processing of your and your child’s personal data (collected by your child’s Provider), to enable the payment of the Free Entitlement constitutes a legal basis for processing (as an exercise of official authority vested in the controller – GDPR Article 6(1)(e)) and as such means your rights are affected. You will not be able to request:

  • the right to erasure
  • the right to portability
  • the right to object.

This means that the only way to exclude your or your child’s data in the data processing is not to use the service at all. Once used, you will not be able to request that the data is erased or forgotten.

Private, Independent and Voluntary Providers and Childminders are ‘Data Controllers’ in their own right and may provide you with a separate policy concerning The General Data Protection Regulation.

This admissions policy is reviewed annually.


Both my daughters attended Clyde House and they have been involved with us for over five years. There is a lovely, gentle and caring atmosphere at the nursery and the children are lively and busy with lots of exploring and playing. I have been very happy with their care.
